PetBiz Privacy Policy

PET BIZ SYSTEMS LLC (“PetBiz,” “we,” “us,” or “our”) provides management software for kennel, dog daycare, boarding, and grooming businesses. This Privacy Policy explains how we collect, use, and share information when you visit petbizsystems.com, when a pet-care business uses the PetBiz platform, and when pet owners receive text messages sent through PetBiz on a business’s behalf.
1. Who we are and our two roles
PetBiz plays two distinct roles:
- As a business (a “data controller”), for information about the pet-care businesses that subscribe to PetBiz, and about visitors to our website.
- As a service provider (a “data processor”), for information that a subscribing business’s staff enter into the platform about their own customers and pets. In that role, the business — not PetBiz — decides how that information is used, and we process it only to provide the service under our agreement with that business.
If you are a pet owner and have questions about your information, please contact the kennel, daycare, boarding, or grooming business you do business with; they control that information.
2. Information we collect
From website visitors: basic usage data such as IP address, browser type, pages viewed, and any information you submit when you contact us.
From subscribing businesses and their staff: name, business name, email, phone, billing details, and account credentials.
Processed on behalf of subscribing businesses (pet-owner records): pet-owner contact details (including mobile phone number), pet information, reservation and service history, notes, and payment records. This information is entered and controlled by the business.
Payment information: card payments are processed by our third-party payment processor. PetBiz does not store full card numbers; the processor handles card data under its own security standards.
Cookies and similar technologies: When you visit petbizsystems.com, we and our service providers may use cookies, pixels, and similar technologies to collect basic usage data (such as IP address, browser type, pages viewed, and referring URL). We use this information to operate and improve the website, understand how visitors use it, and maintain security. You can control cookies through your browser settings. Blocking certain cookies may affect website functionality. We do not currently use cookies for advertising or cross-site tracking.
3. How we use information
- To provide, operate, secure, and improve the PetBiz platform and website.
- To communicate with subscribing businesses about their account, billing, and support.
- To enable subscribing businesses to communicate with their own customers (including two-way text messaging — see the Text Messaging section).
- To comply with legal obligations and enforce our Terms of Service.
- We may also create and use aggregated or de-identified data that does not identify any individual for internal analytics, product improvement, and benchmarking purposes.
4. How we share information
We share information only as needed to run the service:
- Service providers (e.g., cloud hosting, our payment processor, our SMS/messaging provider) who process information on our behalf under contract.
- A subscribing business, which has access to the records it controls.
- Legal and safety reasons, where required by law or to protect rights and safety.
- Business transfers, in connection with a merger, acquisition, or sale of assets.
We do not sell personal information.
5. Text messaging (SMS)
PetBiz enables subscribing businesses to send and receive text messages with their own customers (for example, appointment confirmations, pickup-ready alerts, and replies to questions).
- Consent. Pet owners provide their mobile number to a pet-care business and give that business prior express consent to receive text messages. Consent is obtained and documented by the business, not by PetBiz. The business is solely responsible for ensuring it has the necessary consent before messages are sent.
- Message types and frequency. Messages are transactional and conversational only (for example, reservation confirmations, check-in/check-out and pickup notifications, and replies to messages the owner sends). Message frequency varies based on the owner’s activity with the business. PetBiz does not send marketing or promotional messages on its own behalf.
- Costs. Message and data rates may apply.
- Opting out. A recipient can reply STOP to any message to unsubscribe and HELP for help. After replying STOP, the recipient will receive one confirmation message and no further messages from that business unless they re-subscribe.
- No sharing of mobile information for marketing. Mobile phone numbers and text-messaging consent are never shared or sold to third parties or affiliates for their marketing or promotional purposes. Mobile information is used solely to deliver messages between a pet-care business and its customer through the PetBiz platform and is shared only with the messaging provider that transmits the messages on our behalf.
6. Data retention
We retain information for as long as an account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements.
Records controlled by a subscribing business are retained and deleted according to that business’s instructions and our agreement with them. After a business account is terminated or expires, we will delete or return the business-controlled data within a commercially reasonable period (typically 30–90 days), subject to any legal retention requirements or ongoing disputes.
7. Security
We use administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your privacy rights
Depending on where you live, you may have rights under applicable privacy laws, including the California Consumer Privacy Act (as amended by the CPRA) and similar laws in other U.S. states and Canada. These rights may include the right to:
- Know / access the personal information we collect about you
- Correct inaccurate personal information
- Delete personal information
- Opt out of the “sale” or “sharing” of personal information (we do not sell or share personal information for cross-context behavioral advertising)
- Limit the use of sensitive personal information (where applicable)
- Not be discriminated against for exercising your privacy rights
How to exercise your rights
- If a pet-care business that uses PetBiz controls your information (for example, your contact details, pet records, or reservation history), please contact that business directly. They are the controller of that data.
- If PetBiz controls your information (for example, information about a subscribing business or website visitors), contact us at admin@petbizsystems.com or write to the address in the Contact section. We will respond within the time required by applicable law.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
9. Children’s privacy
The PetBiz platform is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here and revise the “Last updated” date.
